Join Intake (“we,” “us,” or “our”) is operated by Tech Software House LLC. This Privacy Policy explains what information we collect when you use joinintake.com or our AI voice receptionist service, how we use it, and your rights regarding it.
When you create an account we collect your name, email address, and business name. If you subscribe to a paid plan, payment information (card details) is collected and processed by Stripe — we do not store raw card numbers.
When your AI receptionist answers a call, we record and transcribe the call, extract structured intake fields (caller name, callback number, reason for call, department routing), and store this data in your account dashboard. Recordings and transcripts are linked to your account and accessible only to authorized account users.
Important: Join Intake is not designed to collect or store Protected Health Information (PHI) as defined under HIPAA. If your use case involves clinical conversations, consult your compliance officer before using this service.
If you contact us via the contact form or email, we collect your name, email, phone number, and the content of your message to respond to your inquiry.
We use Google Analytics 4 and Microsoft Clarity to understand how visitors use our website. These tools collect anonymised usage data, device type, and approximate location. You can opt out of Google Analytics using the Google Analytics Opt-out Browser Add-on.
We do not sell your personal data to third parties. We do not use your call data to train AI models outside of improving service quality for your account.

Account data is retained while your account is active. Call recordings and transcripts are retained for the duration of your subscription. When you close your account, we delete your personal data within 30 days unless we are required to retain it by law.
Depending on where you are located, you may have the right to access, correct, delete, or export your personal data. To exercise any of these rights, email us at hello@joinintake.com.
California residents (CCPA): You have the right to know what personal information we collect, to request deletion, and to opt out of any sale of personal information. We do not sell personal information. To submit a request, email hello@joinintake.com.
We use essential cookies to keep you signed in, and analytics cookies (Google Analytics, Microsoft Clarity) to understand site usage. You can disable non-essential cookies in your browser settings. Essential cookies cannot be disabled without affecting core functionality.
